Generate Work Order Projections

To support the management of maintenance resources, you can generate work order projections for the coming year. This feature allows you to anticipate work order generation based on preventive maintenance schedules and modify schedules or resources as needed.

This process creates a file of projections that can be viewed and analyzed using available reports. The projections include labor, parts, and other cost projections based on the preventive maintenance schedules established on a recurring or one-time basis. Only one Work Order Projections file can be maintained by each user. When you create a new Projections file, any previously created file is overwritten. 

The Preventive Maintenance Balancer is used by many organizations to obtain a graphical representation of projected work orders. The tool also allows schedules to be manipulated to balance out the load.

A Preventive Maintenance Preference is available to determine whether or not manual projection work order generation should occur in the background. It is strongly recommended that you set this preference to Yes to improve efficiency and eliminate “time out” errors encountered when large batches are generated.

ClosedGenerate Work Order Projections File

To generate work order projections:

  1. Select Actions > Generate Work Order Projections from the main menu.

    The Generate Work Order Projections window opens. This window has the same controls available as the Generate Work Orders window. This allows you to make the same designations so that an accurate listing will be created.

  2. Choose between two options:

    • Double-click the repair center for which you want to generate work orders.

      The repair center is moved to the Selected field.

    • To select multiple repair centers at once:

      1. Press and hold the CTRL button on your keyboard to select multiple values.

      2. Click the Move button .

        The repair centers are moved to the Selected field.

  3. Choose between two options:

    • To only generate projections for work orders due on today’s date or earlier, click the Generate Work Orders that are due option button.

    • To generate projections for all work orders due up to a date in the future:

      1. Click the Generate Work Orders that are due through the date of option button.

      2. Enter the date up to which you want to generate work orders in the date field.

        The date defaults to one month from the current date.

  4. Choose between two options:

    • To prevent work orders from being scheduled on the dates specified in preferences, select the Use the settings for Non-Work Days found in Options / Preferences option button.

    • To specify which days you do not want work orders scheduled:

      1. Select the Use the settings for Non-Work Days below option button.

        Once this setting has been selected, the check boxes for the days of the week are enabled.

      2. Click the check box for each day of the week that should not have work orders scheduled.

  5. Enter a name for the file in the Projection Info area.

    The first time a file is created, the system creates a default name that can be edited as desired.

  6. Click the Generate button.

    A dialog box opens, asking you to confirm your choice.

  7. Click the Yes button.

    • If your organization has set the PM Preference for Background Generation to Yes, a dialog box appears, telling you that your request has been sent to the queue for processing.

    • If your organization has set the PM Preference for Background Generation to No, a dialog box appears, telling you that the work orders projections are being generated.

      When the process is complete, the dialog box tell you that the projections have been generated successfully.

  8. To preview the summary of work orders projected for generation:

    1. Click the Preview button.

      A dialog box opens, asking you to confirm your choice.

    2. Click the Yes button.

      Maintenance Connection will proceed to generate the list. You are warned to wait while the process is completed.

      When the list is complete, you will be notified that the preview is complete.

    3. Click the Close button.

      A list of all work orders to be generated displays. Each work order will specify the priority, target date and hours, procedure, asset, and location.

      Alternating colors are used to separate work orders for easier identification. When work orders have been designated to generate as part of a group, they will be listed together with the same background color. If the work orders are to be generated in a master / child relationship, only the master work order in the group will be displayed.

    4. To view all work orders to be generated in a group, click the Show All Work Orders in Groups check box.

      The page refreshes, listing each individual work order. The child members of the group will be listed directly below the master work order.

    5. To print this list, click the Print button.

      The list prints.

    6. When you are finished previewing the list, click the Close button.

      The Generate Work Order Projections window appears.

  9. Click the Close button.

    The Generate Work Order Projections window closes.

    Note:

    If the work order projection generation is occurring in the background, a brief notice will appear on the bottom-right of your screen when the generation is complete.

ClosedRun Work Order Projection Reports

Once work order projections have been generated, you can use the Reporter to generate reports summarizing work order costs, labor utilization, and other work order data. Refer to the Maintenance Connection Reporter User Guide for complete instructions on using the Reporter. The following are general instructions for accessing Work Order Projection reports.

To run work order projection reports:

  1. Choose between two options:

    • Select Applications > Reporter from the main menu.

    • Click the Reports button.

    • The Reporter window opens, providing access to all reports currently defined.

  2. Select Work Order (Projections) from the menu on the left side of the window.

  3. Select a report to run.

    The report name is highlighted in yellow.

  4. Click the Run button.

    The Report Criteria window opens, prompting you to enter runtime criteria for the report. By default, the window includes work orders projected for the next or last six months.

    To run the report for a specific projection file, use the Projection Name filter at the top-right of the window. 

  5. Click the Apply button.

    The report contents will be displayed in a Report Preview window.

    In this window, you can use the available options to print, email, or export the report contents. You can also alter the layout of the report using the Setup option and change the report criteria using the Criteria option. For further information on modifying, running or creating reports, refer to the Reporter User Guide.

  6. Click the Close button.

    The report listing appears allowing you to select another report to be run.

  7. Click the Close button.

ClosedDelete Work Order Projections File

To delete the current work order projections file:

  1. Select Actions > Generate Work Order Projections from the main menu.

    The Generate Work Order Projections window opens. If a Projections file is available for deletion, the Delete button will be active.

    If there is no projection file created by you on file, the Delete button will be disabled.

  2. Click the Delete button.

    A dialog box opens, asking you to confirm your choice.

  3. Click the Yes button.

    The file is deleted and the Work Order Projections window appears.
